Choose which labels sync from an account

Turn off the labels you don't want brought in from one account, and what happens to the contacts that only have those labels.

You can keep some of an account's labels out of ContactZapp. The choice is made one account at a time. Nothing is deleted in the account itself.

Steps

  1. Open your account menu and tap Settings. Then tap Accounts.
  2. On the account, tap the gear button. Its name reads Configure followed by the account.
  3. Find Which labels to sync. Each label shows its name, how many contacts have it, and a switch.
  4. Turn off the labels you don't want from this account. Turn a switch on to bring a label back.
  5. If the list is long, tap Show all N labels to see the rest.

Each switch saves when you tap it. There is no Save button.

What a label that is off means

A label that is off isn't synced from that account. Contacts that have only that label aren't synced from it either.

  • A contact with at least 1 label that is on still syncs. It comes in without the labels that are off.
  • A contact with no labels at all always syncs.
  • The choice applies to that one account. A label you turned off for one account can still reach it from your other accounts.

The linked answers on this page explain what happens to a new label and to a contact with several labels.

What happens to contacts that only have labels you turned off

ContactZapp removes them after 30 days. The screen shows the same number under the list: "Contacts that only have labels you turn off are removed from ContactZapp after 30 days."

  • The removal is only in ContactZapp. Nothing is deleted in the account itself.
  • If another account also holds the contact, we keep it.
  • Turn the label back on and they come back. We read the account again, so the contacts return as they are in the account today.

What happens next

Nothing to do. For more on labels themselves, see Use labels.

If something goes wrong

  • "Labels appear after the first sync." This account hasn't finished its first sync. Come back after it has.
  • "No labels found on this account yet." The account has no labels to choose from.
  • A contact is missing after you turned a label off. That is expected when all its labels are off. Turn the label back on. See also A contact is missing from an account.

My contacts have labels. Can I exclude some labels from syncing?

Yes. Open Settings, choose Accounts, and open the account with the gear button. Under Which labels to sync, turn off the labels you don't want from that account.

ContactZapp then doesn't bring those labels in from that account. A contact that has at least 1 label turned on still syncs, without the labels that are off. A contact that has only labels that are off isn't brought in from that account. If no other account has it, we remove it from ContactZapp after 30 days. Nothing is deleted in the account itself, and turning the label back on brings the contact back.

The choice applies to one account. A label that is off for that account can still reach it from your other accounts.

What happens when I create a new label in one of my connected accounts?

It depends on where the label was created.

  • A label you create in ContactZapp is sent to your two-way accounts and turned on there.
  • A label created in another app, such as Gmail or Outlook, syncs from that account if you have never changed its label toggles. If you have, the new label starts turned off. To sync it, turn it on under Which labels to sync in the account's settings.

While a label is off, contacts that have only that label aren't brought in from that account. We check each account for new labels about once a day, so a new label can take up to a day to show in the list.

How is a contact with multiple labels synced?

A contact with several labels syncs when at least 1 of its labels is turned on for the account. The labels that are turned off aren't brought in from that account. A contact with no labels always syncs.

When we send the contact to your two-way accounts, we send the labels it has. Labels that an account already has on the contact, and that you turned off for it, stay in place. A label that is off for one account can still reach it from another account that has the label.
