Duplicates and merging

Mark contacts as not duplicates

Tell us two contacts are different people so we stop suggesting them as duplicates, and bring a pair back if you change your mind.

If two contacts are different people, tell us. We won't suggest them as duplicates of each other again. This changes nothing in your contacts.

Steps

  1. Tap Review duplicates.
  2. Look at the group. Tap Don't merge.
  3. Confirm Keep these N contacts separate?

To keep just one contact out of a group, untick its box, Include … in the merge. That contact stays separate. The column then reads "Left out — stays a separate contact, permanently".

What happens next

These contacts won't be suggested as duplicates of each other again. They stay as they are in each account. Auto-Merge doesn't merge them either.

This lasts until you remove the pair. A factory reset also removes every pair.

Bring a pair back

  1. Open Settings and tap Merging.
  2. Find Not duplicates. It lists the contacts you said are different people.
  3. Tap Remove next to the pair. If the list is long, tap Show all N first.

The message says "{left} and {right} can be suggested as duplicates again." Removing a pair doesn't merge anything. We can suggest it again the next time a sync finds it. Remove one pair at a time.

If something goes wrong

  • "We couldn't record that decision. Try again." Tap Don't merge again.
  • "Merged. We couldn't save your "Don't merge" choice…" The merge went through, but the choice wasn't saved. Tap Try again.
  • "We couldn't load this list. Try again." Open Not duplicates again.
  • "We couldn't remove that. Try again." Tap Remove again.
  • "Nothing here." You haven't kept any contacts separate yet. Contacts you keep separate in a merge review are listed here.

To merge contacts instead, see Review a duplicate. For how we decide two contacts are the same person, see the linked answer.

How does ContactZapp decide two contacts are the same person?

We compare contacts by their names, email addresses and phone numbers, after tidying up differences like spacing and capital letters. We use fixed rules and similarity checks, not AI.

If two accounts hold exactly the same contact, we link them without asking you. For likely duplicates, you choose. Review duplicates shows the contacts together and suggests the values to keep, or you choose Don't merge to keep them separate.

You can also let Auto-Merge merge the duplicates we are confident about. You pick how sure we must be, or leave it off. It is off until you turn it on, and you can undo any merge from History.
