Duplicates and merging

Review a duplicate

Look at two or more contacts side by side, choose the values to keep, and merge them or keep them separate.

We show the contacts side by side and suggest the values to keep. You decide whether to merge them or keep them separate.

Steps

  1. Tap Review duplicates. You can also open a duplicate from your contacts.
  2. The screen shows the first group. On a phone, turn it sideways to see the whole table.
  3. Look at the suggested merged contact. A short line under each value says why we chose it.
  4. To use a different value, tap it. For fields with several values, tick the ones to keep. To type your own, tap the pencil.
  5. To leave one contact out, untick its box, Include … in the merge. It then stays a separate contact, permanently.
  6. Tap Merge these N to merge. Or tap Don't merge to keep them apart.
  7. If you tap Don't merge, confirm Keep these N contacts separate?

Not sure yet? Tap Skip for now to come back to it. Tap Finish later to leave the queue.

What happens next

The contacts become one. A message appears with Undo. It stays for 15 seconds.

With Don't merge, we won't suggest those contacts as duplicates of each other again. This is permanent unless you remove the pair in Settings › Merging, under Not duplicates.

When the queue is empty, the screen says That's all of them. New duplicates show up the next time a sync finds one.

If something goes wrong

  • "Nothing to review". No duplicates are waiting.
  • "We couldn't merge these contacts. Nothing was changed — try again." Tap Merge these N again.
  • "These contacts changed while you were looking, so we reloaded them." Check the result, then merge.
  • "Check at least two contacts to merge them." Tick at least two contacts.
  • You'd rather not review each one. Auto-Merge can merge the ones we're sure about. See the linked answers about matching and Auto-Merge.

How does ContactZapp decide two contacts are the same person?

We compare contacts by their names, email addresses and phone numbers, after tidying up differences like spacing and capital letters. We use fixed rules and similarity checks, not AI.

If two accounts hold exactly the same contact, we link them without asking you. For likely duplicates, you choose. Review duplicates shows the contacts together and suggests the values to keep, or you choose Don't merge to keep them separate.

You can also let Auto-Merge merge the duplicates we are confident about. You pick how sure we must be, or leave it off. It is off until you turn it on, and you can undo any merge from History.

Can I auto-merge likely duplicate contacts?

Yes. Go to Settings › Merging and find Auto-Merge. Choose how confident we should be: Certain, Very likely or Likely. Each level shows how many of your duplicates it would merge. After every sync, we merge the duplicates that meet your level. The rest wait for you in Review duplicates. Off is the starting choice, so we merge nothing until you choose a level. To merge what qualifies right now, press Merge N now. You can undo any merge from History.
